Print Business Checks with QuickBooks and Quicken Software
QuickBooks and Quicken are two of the most commonly used financial software programs available. They can be used as a quick and easy way to print business checks. You can use blank check stock or laser checks to do the job.
If you are using laser checks from Check Advantage - your company or personal information should already be printed in the upper right-hand corner, and your account number and bank's routing number should be on the MICR line.
If you are using blank check stock you will have to set up QuickBooks or Quicken to print this information on your business checks.
You should double check the manual that came with your software to make sure that when you order checks online you are selecting a style that is compatible with the program you use.
All QuickBooks and Quicken checks from Check Advantage are guaranteed to work with both laser printers and ink jet printers. Checks are printed on letter-size paper and should be placed in your printer's output tray the same way you'd insert normal letterhead paper.
Using QuickBooks to Print Checks
The following is an example of how to use QuickBooks Pro 2009 to print business checks. If you are using a different version of the software, there may be some slight differences, but the following steps should give you the basic idea.
First - click on the checkbook icon in the Banking icon section. If you don't have your QuickBooks software set up to display icons - the button will read Write Checks. You can also go to File > Print Forms > and then select Checks. Any of these methods will open a new window displaying a check with missing information that you will need to fill out.
Select a bank account from a drop down menu. This determines what account you want to withdraw money from for this particular check or checks. Next fill out who the check is payable to. If you are paying multiple checks you will need to set that up ahead of time. If you have certain payees already loaded in QuickBooks you can select them.
QuickBooks should automatically choose the correct check number in your sequence of business checks, but you can change the number manually if needed.
You'll then need to fill in the date, amount the check is being written for, and any information you want to appear in the memo section of the business check.
Finally when you print the checks, you'll need to choose the style of check you are printing voucher checks, standard checks or wallet checks. Then click print and you are done.
It is a good idea to conduct a test print before printing a large batch of checks to make sure your settings are correct.
Using Quicken to Print Checks
Look for Write Checks in the Quicken Cash Flow menu. You can also choose this option from the File menu options. As with QuickBooks, you'll need to designate the bank account you want to expense by selecting it from a dropdown menu.
You can choose to print a Single Check or Multiple Checks. When printing multiple checks you can print to every payee loaded in your software, checks within a specific date range, or you can select only certain checks to print. To do that - click the Choose button and select the checks you want to print. By default, both Quicken and Quickbooks will select all the checks.
Enter the name of the payee in the Pay to the Order Of line. Then enter the dollar amount on the line with the $ symbol as well as the check date in the Date field.
When you click Record Check - it will automatically record the payment to your Quicken check register.
You also have the option of entering an address and saving the information for payees on your QuickFill list. This will make the process faster if you plan to pay this individual or business on a regular basis.
Click done and you will proceed to select the style of check you want to print from the drop-down list.
Before you print, you can choose to print only one or two checks on a sheet of 3-per-page checks, and you can print additional copies when printing voucher checks.
By clicking "Print First" your software will only print the first check in a batch of business checks. That way you can look to see if all of your settings were correct before clicking OK and printing all of the checks.
